Specifications include, but are not limited to: The City is seeking a provider of transcription services via one-year annual contract. The material to be transcribed will be from audio taped statements and interview room videos conducted in conjunction with investigations conducted by the Winter Haven Police Department. Confidentiality is therefore a must.; Audio will be forwarded to the vendor via email in a format agreed upon by both the vendor and the Winter Haven Police Department.; All transcriptions shall be completed and returned to the Winter Haven Police Department within 5 business days as a standard turn-around time. The vendor must be capable of completing and returning statements within 24 hours, upon request.; The contracted vendor shall be paid upon submission of legible invoices to the City for completed transcriptions at the per minute cost(s) stipulated in the contract. Charges will be calculated by the total minutes taken to complete the transcript x the contracted per minute cost. All invoices must be legible or payment will not be made until resolved.; The vendor will not charge a higher rate for audio that is difficult to transcribe.; The Bidder shall be able to translate Spanish and Creole into an English transcript.; Bidders shall include a current occupational license(s) from the applicable city/county in which their business is located.; Bidder must list all physical addresses and phone numbers of each of their business locations.
