Transportation of library materials (Attachment) from BARC (Beltsville Agricultural Research Center) West Campus located at 10300 Baltimore Avenue, Building 003, Beltsville, MD 20705, to USDA South Building, 1400 Independence Ave. SW, Washington, DC 20250.
Preparation and packing of items for safe transport is necessary for all items. Contractor will provide additional preparation (e.g., protective covers, cushions) for cabinets. Museum collections will be prepared for transport but will be heavy packages that contain delicate items requiring careful transportation and attention to positioning of each package during transport. Standards for packing collections will be set and supervised by NMNH Entomology Collection Manager Floyd Shockley in conjunction with USDA staff who can also provide instruction and oversight relative to packing in the initial phases of the move.
An inventory of items by the service provider is required to confirm chain of custody at departure and destination.
The relocation service to both NMNH and USDA must be completed according to an agreed-upon schedule. The target date for the move is April 30, 2025, with sufficient time for packing in advance of this date, and unpacking afterwards to be planned accordingly.
The contracted moving company is responsible for prepacking and preparing items prior to the move according to an agreed-upon schedule and installing items at designated locations at the destinations. SI and/or USDA staff will designate where specimen cabinets, bookcases and other items should be placed.
The Service provider must arrange for loading and unloading permits and parking arrangements. We will get a blanket parking pass from Chun-Hsi Wong or delegated SI managers for the moving and unpacking phases at the museum. Arrangements for parking and loading dock access will be coordinated through NMNH Entomology Collections Manager Floyd Shockley and central Collections Management staff. NMNH will provide loading dock passes for trucks and a single vehicle pass for contract staff.
