Professional Services hours for configuration, implementation, enduser Box.com software training C.4 SCOPE: The Government of the District of Columbia, Office of Contracting and Procurement on behalf of the Metropolitan Police Department (District) is seeking a contractor to provide ten (10) hours of professional services hours for configuration, implementation, and end-user Box.com software training. MPD would like a single web-based document management tool to manage its documents and associated workflows. The new system will be user-friendly with intuitive search, sort, and design features and permit the sharing of information with members throughout the agency as well as external partners. C.4 REQUIREMENTS C.4.1 Configuration Requirements C.4.2 The contractor shall provide the following: 1. Single sign-on for management of users. The single sign-on should be SAML based and integrate with District’s Active Directory. 2. Role based access – Manage permissions/ Access/ Restrictions System should provide means to manage roles for each user for permissions and access to the system. The system should allow for restrictions for roles as well. 3. The system should allow for storage of digital media for any type of media that MPD needs including but not limited to documents, images, videos, audios etc. The system should allow for storage of the data on cloud. The system will include following points for cloud storage. Storage Infrastructure: Provisioning of cloud storage infrastructure, including type of storage. Data Management: Implementation of data management strategies, including backup, recovery, and retention policies. Security: Implementation of robust security measures to protect data in the cloud, including encryption, access controls, and compliance with privacy regulations. Performance Optimization: Optimization of storage performance. Support and Maintenance: Support and maintenance of the cloud storage environment. 4. MPD would be the owner of all the data uploaded by MPD, to the system. MPD shall retain full ownership of all data uploaded to the System. The system and contractor shall not have any ownership rights or interests in MPD’s data. 5. MPD shall have the right to access, download, and export its data from the System at any time. The system shall ensure that the Client's data is portable and can be easily transferred to other systems or providers. 6. The storage of MPD’s data will be a searchable archive. 7. The system shall integrate with Office 365 including email and Microsoft Teams. 8. The system shall provide workflows to manage documents with custom build approval workflows and ad-hoc approvals. 9. The system shall implement robust security measures to protect the MPD’s data from unauthorized access, disclosure, alteration, or destruction. These measures shall include but not be limited to encryption, access controls, regular backups, vulnerability assessments. 10. The system shall comply with all applicable data privacy and security laws and regulations, as specified in section “C.4 Data Security and Privacy”. 11. The system shall maintain an audit trail of all activities related to the MPD’s data, including access, modifications, and deletions. The audit trail shall be retained for a period of 3 years and shall be made available to the MPD upon request. C.5 End-User Box.com Software Training C.5.1 The contractor shall provide software training for MPD users. Training materials and online access will be included. C.5.2 The contract shall provide training content that covers all aspects of the software functionality, including basic and advanced features. C.5.3 The contractor shall provide training shall be delivered by qualified instructors with expertise in the software. C.6 Implementation C.6.1 The contractor shall be responsible for the successful implementation of the Box.com solution within the agreed-upon timeframe. C.6.2 The contractor will be experienced in configurations on box.com C.6.3 The contractor will complete the configuration in ten (10) hours C.6.4 The contractor shall adhere to project management best practices, including: 1. Requirements gathering and analysis 2. Project planning and scheduling 3. Kickoff meetings and stakeholder engagement 4. Regular project status updates and progress reports C.6.5 The contractor shall collaborate with MPD representatives throughout the implementation process to ensure that the solution meets MPD's specific needs and requirements.
