Specifications include, but are not limited to: The Contractor shall organize and execute two (four hour) community building events for the following: (1) AIM 2 ReEngage Back 2 School Resource Fair on Saturday, August 19, 2023, located at the DC ReEngagement Center, and (2) AIM 2 ReEngage Resource Fair on Saturday, September 16, 2023. Each event will be held from 11am to 2pm for community participation, with the vendor on site and available for the duration of each event beginning from 8am to 4pm on each day. The events shall aim to increase awareness of the DC REC and DCPS, Reengagement & barrier remediation services. C.5 The contractor shall provide the following for each community events: 1. Secure the location – in an approved location 2. Partner with STATDC to provide and distribute food for a minimum of 300 families. 3. Provide DJ (preferably DJMystique) to provide music for the events. 4. Distribute swags and other goods. To be provided by OSSE and other approved community-based organizations provided by each vendor. 5. Provide 30 tables, 60 chairs, one stage, 4 large sized trashcans and 15 cones for the events. 6. Provide and submit sign-in sheets for partner attendance at each event. 7. Partner with Photographer (preferably Donna Wilks). 8. Ensure all selected educational placements, community based organizations, school partners, and vendors are contacted and organized to participate on each event day. 9. Partner with MPD to ensure that they are made aware of event dates and times to be able to provide police presence and support. 10. Provide staffing to take physical count of community participation to be submitted to the DC REC and distribute participation survey to a minimum of fifty percent of attendees. 11. Submit a Resource Fair Report summarizing the logistics of each event, partner participation, community presence data and survey feedback, and pros/cons. 12. Obtain street permit for each respective event. 13. Secure a minimum of three porta-potties for each event. 14. Complete set-up and breakdown of each event. 15. Distribute Event information (flyers) to surrounding community residents and businesses at least seven days prior to each event.
