Specifications include, but are not limited to: ● Phase 0 - Pre-Implementation o Help KIPP DC to align on key design decisions. o Work with KIPP DC team to complete detailed design of future-state processes. ▪ This will include providing guidance on best practices and options to inform KIPP DC decision-making. ▪ Highest priority here is design of a purchasing policy and procedures, but other processes will also need development. o Document KIPP DC business objectives and priorities. o Work with KIPP DC team to develop data governance plan. o Work with KIPP DC to prepare change management plan and schedule. o Establish project management processes and controls. o Refine schedule for full project implementation based on KIPP DC staffing resources and potential blackout dates. ● Planning o Establish and document project goals, plan, timeline, milestones, deliverables, resources, and team responsibilities. o Initiate project work streams and team meetings. o Identify Workday training needs by team. o Define Foundation Data Model and coordinate team analysis of key elements. o Conduct initial data conversion. o Conduct data analysis, collection, and configuration activities to build foundation tenant. o Initiate change management activities. ● Architect & Configure o Conduct design sessions and document requirements and decisions into configuration workbooks. o Build foundation tenant. o Test and adjust configuration. o Solicit and receive KIPP DC sign off on initial design. o Build end-to-end tenant. o Develop end-user training plan based on documented impacts and needs. o Support ongoing change management activities. ● Testing o Work with KIPP DC to develop detailed and comprehensive test scenarios. o Guide KIPP DC in developing and delivering end-user training materials that are accurate and user-friendly. o Ensure future state functionality per KIPP DC-specific processes. o Work with KIPP DC to establish cutover plan, including all relevant preparatory information. o Support ongoing change management activities. ● Deployment o Support KIPP DC execution of training plan. o Guide KIPP DC review and approval of all data conversion. o Guide KIPP DC manual configuration changes as needed. o Support KIPP DC Go-Live. o Support post-Go-Live data conversions and catch-up transactions. o Support ongoing change management activities. ● Ongoing Support o For pre-established period following Go-Live, provide ongoing support. o Support ongoing change management activities.
