Specifications include, but are not limited to: 1. For this bid, Vendor must demonstrate the ability to be a primary produce vendor for a large medical center who can provide the following: • Daily delivery service 6 days per week. • Online ordering system with ability to take PO numbers and generate confirmation emails. • Order confirmation pricing must match actual invoice pricing. • Online ordering system must have information sufficient to be able to identify local, organic, fair trade and California grown attributes and other designations as determined necessary. • Effective system to deliver out of stock communication and pre-select appropriate substitutions when applicable. • Vendor must be able to provide accurate reporting on a monthly, quarterly and annual basis in total sales for: • Food purchases within 250 miles of Sacramento, CA • Certified Organic • Fair Trade • By Farm/Grower (preferred but not critical) • A commitment to purchase from local and family farmers with transparency. • Weekly price lists are provided as scheduled with price holds for the week. • Vendor will establish a qualified account manager for regular communication and coordination. • Contract terms to be extended to any sustainable foods product lines carried by vendor that might be purchased. • Product purchased from vendor to be clearly marked with a “use by” date. (preferred, but not required) • Program Requirements: • Fill Rate – Vendor to maintain a 98.5% fill rate. • Minimum Order – No Minimum Order Requirement • Environmentally Responsible Packaging – Vendor agrees to use good faith efforts to utilize environmentally responsible packaging. • Returns – Vendor agrees to accept product returns for credit if quality is in question
