Specifications include, but are not limited to: Consultant agrees to perform a variety of routine and complex technical and professional work within the fields of property management and maintenance on a regular, as-needed basis for the real property located at 6901-6921 Linda Vista Road, San Diego, CA. These activities include, but are not limited to, the following: Property Management • Implement procedures for maintaining full occupancy (all spaces currently leased): o Market vacant units, show units to prospective tenants; and o Screen prospective tenants, negotiate new leases and collect required insurance per City compliance guidelines. • Bill and collect rents and any other applicable expenses from tenants and ensure tenants adhere to terms of leases: o Prepare and deliver monthly rental notices. o Collect monthly rental payments. o Collect keys and verify vacant units. o Assist with preparation of eviction documents. o Collect delinquent rent. • Perform all necessary accounting functions and prepare/maintain appropriate records: o Process and pay vendor invoices and utility bills from property income. o Provide monthly financial reporting to CivicSD Project Manager and Accounting staff that includes operating statements, bank reconciliations, vacancy reports, accounts payable listing, tenant delinquency reporting and disbursement reporting. o Prepare and submit accurate and timely reports by the 15th day of each month. • Promptly address tenant inquiries, requests and trouble calls. • Prepare and implement programs for preventative and emergency maintenance and repair, including regular inspections. • Administer emergency and unsafe condition repairs. • Identify and provide site, building or systems maintenance and repair using qualified contractors or trades persons. • Provide a 24-hour contact for responding to trouble or security calls within a reasonable timeframe. • Provide regular status reporting to CivicSD Assistant Property and Projects Manager on ALL tenant or property issues. • Maintain current insurance from tenants adhering to City insurance guidelines and provide copies to Assistant Property & Project Manager.
