Specifications include, but are not limited to: Under the supervision of the ArtNight Coordinator and Cultural Affairs Division Manager, the ArtNight Docent Coordinator is responsible for the outreach, training, scheduling, and coordination of all ArtNight Docents for each twice-yearly event (October 2020 and March 2021). Must be familiar with the ArtNight production and have at least 2 years of experience coordinating volunteers for an arts/cultural event. Responsibilities include:• Outreach and recruitment of volunteers and Docents at least two months prior to event • Revise and prepare training documents and packets for Docents and Student Ambassadors • Write up introductory scripts for each participating venue• Rehearse/film/edit each script• Organize, plan, and conduct training sessions with docents, ambassadors, volunteers. If necessary, hold extra meetings to hire enough Docents to staff the event• Assign routes and email docents with details, answer questions, deal with complaints and reworking assignments • Supervise and coordinate volunteers, Docents, and Site Managers during the event. Rearrange assignments as cancellations and no shows occur, connect Ambassadors with a ride to their venue• Answer patron questions at City Hall during the event, field calls from Docents about problems on buses• Collect invoices and forms from Docents• Participate in clean up after the event• Assist with coordination of on-line event in lieu of, or in addition to in-person event, as needed
