Scope of Work This is the detailed description of the Scope of Work, including objectives, tasks, deliverables, and any specific requirements relevant to this project. Successful vendor will be responsible for the following: 4.1. General Description OIAA seeks a qualified firm to provide managed services with both pre and post-implementation of various Workday SKUs. This Scope of Work (SOW) outlines the implementation and post-implementation optimization of key Workday functionalities focused on Grants Management, Projects, and related functionalities. The objective is to enhance tracking, reporting, and operational efficiency by utilizing Workday’s built-in capabilities tailored for these functions, ensuring continuous improvement beyond the initial deployment. 4.2. Objectives, Project Deliverables & Anticipated Functions The primary objectives of this project are: Implement best practices for Grants Management and Projects functionalities. Ensure ongoing post-implementation optimization of Grants and Projects. Maximize the value of Workday SKUs already owned. Ensure optimal integration of interrelated SKUs, including Time Tracking and Worktags. Improve financial transparency and operational efficiency through enhanced reporting capabilities. 4.2.1 Functional Enhancements 4.2.1.1 Implement Grants Management Functionality Deploy Grants Management to facilitate tracking, reporting, and accounting for grants. Configure Workday to align with best practices in grant tracking and reporting. Develop a detailed project timeline considering dependencies on Projects and Time Tracking. Collaborate with a certified implementation partner specializing in governmental entities for optimal configuration. 4.2.1.2 Implement Projects Functionality Configure Projects and Capital Projects functionalities to facilitate tracking. Replace custom worktags with Project Worktags for more precise financial tracking. Optimize the use of FDM elements to align with Workday’s native project tracking capabilities. Ensure alignment with Grants Management for seamless financial and operational integration. 4.2.1.3 Explore Time Tracking for Project and Grant Management Evaluate Time Tracking as an enhancement to project and grant processes. Enable workers to track time against specific projects and/or grants. Configure Workday to automate time tracking workflows for improved financial reporting. 4.2.2 Reporting & Financial Oversight Enhancements Improve reporting capabilities for Grants and Projects, ensuring financial transparency. Align Ledger Account Summaries, Commitment Accounting, and Project Billing with reporting structures. Enable real-time insights and tracking for Workday users and administrators. Ensure Workday’s financial reporting tools are leveraged for grant and project audits, compliance, and forecasting. 4.2.3 Post-Implementation Optimization Provide continuous post-implementation optimization for Grants and Projects to refine configurations and reporting as business needs evolve. Support Workday administrators and end-users in resolving issues and implementing best practices. Ensure integration with Workday’s latest features and enhancements over time.
