The scope of services will include but are not limited to those denoted below, and a submitted proposal must address the entire scope of services listed. A. Task 1 - Claims Receipt and Set Up Establish and maintain a physical claim file in which all documentation related to the claim shall be kept. All claim files maintained for SacSewer belong to SacSewer. Files may be requested at any time during normal business hours and must be submitted to SacSewer upon request. B. Task 2 - Tort Claims Handling Upon receipt of tort claims filed with SacSewer, evaluate claims for compliance with all relevant legal codes including sufficiency and timeliness and shall provide recommendations within seven (7) days to SacSewer for response and further handling of the claim. C. Task 3 - Investigations As directed by SacSewer, perform the investigation(s) necessary to determine SacSewer’s legal liability and verify the damages arising from the incident. The investigation shall include but not be limited to: police reports; emergency response to the scene; interviews and recorded statements from claimants, employees and witnesses; photographs; diagrams; securing official reports, medical records, reports and records, property damage estimates, receipts, arranging independent medical examinations, property damage appraisals, and other expert inspections. Initial investigations with recommended actions shall be completed within thirty (30) calendar days. D. Task 4 - Reporting i. Provide regular written status reports to SacSewer which shall reflect the procedural status of the tort claim, recent claims handling activity, updated evaluations, significant events/changes, recommendations and further activity planned. At a minimum, provide an opening report acknowledging receipt of the claim; a comprehensive captioned report and a closing report. ii. Produce and distribute to SacSewer monthly detailed loss reports within fifteen (15) days of month-end, including but not limited to new claims in previous month, claims closed in previous month, check register for previous month, full loss run open/closed, and all open claims. All reports shall be provided in searchable PDF format and the full loss run shall be provided in searchable PDF format and Excel format.
