Specifications include, but are not limited to: The Cajon Valley Union School District (“District”) is seeking proposals from qualified school enrichment service providers (“Provider”) to offer various on-campus enrichment activities for students during and/or after regular school hours and during school breaks (i.e. Spring, Summer and Winter Breaks). It is the District’s intent to award multiple contracts in each category of service in order to provide students district-wide with a wide variety of enriching activities on an as-needed basis.; 1. Provide enrichment activities at school sites throughout the District on an as-needed basis. Refer to Exhibit A for District map/listing of potential school site locations. Services are to be provided on-site at the school campus(es) unless there is an unforeseen school closure or unanticipated need, in which case services may be requested virtually. Schedules will be determined by the District based on school site needs which may include rotations for various grade levels. Vendor flexibility is requested. Services will only be scheduled as-needed between the hours of 6:30 a.m. - 6:00 p.m. Monday through Friday (excluding school holidays). It is anticipated the majority of services for the upcoming school year will be scheduled after school hours between 2:30-5:00 p.m.; 2. The District intends to award contracts to responsive and responsible Providers for the services described herein. Because it is known the highest ranked Provider may not be able to meet all needs of the District on any given date/time, qualified Providers will be awarded contracts and will be given opportunity to provide available services in the order of their ranking that will result from the proposals submitted by Provider(s). The highest ranked awarded Provider will receive the most favored position in terms of having the first right of refusal of the district’s business. Therefore, the District will offer all available hours to the highest ranked provider in the applicable category and, as the need arises, progress to the next highest ranked, third highest ranked, etc. For example, if the District decides to provide sports programs at 25 school sites 5 days per week, all of the requested sports services will be offered to the highest ranked Provider. However, if the highest ranked Provider cannot provide the specified type(s) of services or can only provide enough staffing for programs at 15 schools, the District will utilize that Provider’s services to their maximum capacity first, then offer the additional services to the next highest ranked Provider, and so on.; 3. The award of a contract does not guarantee any minimum commitment for services. Rather, the award of multiple contracts will provide the District with the maximum number of options for a wide variety of services as needed throughout the school year (before, during and/or after school hours) as well as during spring/summer programs and other vacation breaks. District will not necessarily require services in every category every month, or at all. However, having these awarded contracts in place will allow for services to be provided quickly, if or when the need arises.
