3.1 Creating a Plan Coaching Services (estimated at approximately one hundred (100) hours per assigned community partner) – Design, schedule and facilitate a collaborative process that guides partners and local stakeholders through development, completion, and adoption of an arts policy, plan, and corresponding budget for implementation. 3.2 Building Capacity (estimated at up to forty (40) hours; variable depending on technical assistance goals set by the assigned community partner) – Respond to a wide range of needs of partner staff and stakeholders to build their capacity to coordinate and manage successful implementation of a newly-adopted arts policy, plan and corresponding budget. 3.3 Additional assignments may include: 3.3.1 Participate in Arts Ed Collective learning communities or workgroups to share, further develop and apply coaching knowledge and practices to other efforts that advance the goals of the Arts Ed Blueprint. 3.3.2 Provide capacity-building workshop(s), mentoring support and other customized services related to strategic planning for other coaches and stakeholders, including but not limited to executive leadership, administrative staff, practitioners, clients, school districts, partners and/or community members. 3.3.3 Communicate with, enroll, onboard, and track the progress of coaching services with partners, as assigned. 3.4 All coaching services provided by the consultant shall be designed and delivered in order to: 3.4.1 Build consensus and achieve buy-in from partner stakeholders – which may include but are not limited to executive leadership, administrative staff, practitioners, clients, and community members – for implementing arts policies and plans, both within and across their agency. 3.4.2 Build partnerships and collaborations with community resources (people, facilities, and funding) for implementing arts policies and plans. 3.5 Consultant shall complete the following tasks: 3.5.1 Provide administrative services associated with coaching assignment(s), including but not limited to coordinating/scheduling all meeting dates and locations; developing meeting agendas, documenting the facilitation process and resulting polices, strategic plans, and budgets, and reports; facilitating (virtual and/or in person) meetings at the discretion of the community partner. 3.5.2 Submit mid-year and annual reports for each coaching assignment that detail the progress, accomplishments, successes, challenges, lessons learned and proposed next steps. Where applicable, the reports will include completed or updated policies and plans and all supporting documents. 3.5.3 Meet monthly with Arts and Culture to assess progress and to ensure benchmarks are met during the specified time frame. 3.5.4 Complete annual written progress reports. The written report forms, provided by Arts and Culture, will address the project’s status, including accomplishments and challenges and the progress made toward meeting the project metrics and time allocated to additional assignments.
