Specifications include, but are not limited to: Property Management • Implement procedures for maintaining full occupancy. o Market vacant units, show units to prospective tenants. Screen prospective tenants and negotiate new leases. o Bill and collect rents and any other applicable expenses from tenants and ensure tenants adhere to terms of leases. o Prepare and deliver monthly rental notices. o Collect monthly rental payments. o Collect keys and verify vacant units. o Assist with preparation of eviction documents. o Collect delinquent rent. • Perform all necessary accounting functions and prepare/maintain appropriate records: o Process and pay vendor invoices and utility bills from property income. o Provide monthly financial reporting to CivicSD Project Manager and CivicSD Accounting staff that includes operating statements, bank reconciliations, vacancy reports, accounts payable listing, tenant delinquency reporting and disbursement reporting. o Prepare and submit accurate and timely reports by the 15th day of each month. • Set up and maintain property account with federally insured bank. • Maintain business relationships with tenants. • Respond to tenant’s inquiries, requests and trouble calls in a prompt manner. • Prepare and implement programs for preventative and emergency maintenance and repair, including regular inspections. • Administer emergency and unsafe condition repairs. • Identify and provide site, building or systems maintenance and repair using qualified contractors or trades persons. • Provide a 24-hour contact for responding to trouble or security calls within a reasonable timeframe. • Maintain accurate records of all tenant/property issues and provide regular status reporting to CivicSD Assistant Property and Projects Manager on crucial tenant or property issues. • Prepare and maintain accident reports with a copy to CivicSD Assistant Property and Projects Manager on a timely basis. • Purchase operating supplies. • Prepare yearly operating plan and budget. Property Maintenance • Ensure property is well maintained; provide for safe and sanitary conditions, make necessary repairs; respond to complaints and arrange for provision of services and utilities. • Perform regular as-needed litter/debris removal and abatement. • Perform regular and as-needed services to secure premises. • Perform regular and as-needed repair and maintenance services. • Perform regular and as-needed landscape maintenance and weeding. • Perform or provide qualified contractors or trades persons for other as-needed services such as: o Erosion control o Elevator maintenance services o Emergency services o General carpentry or repairs o Landscaping and Groundskeeping o Litter/debris removal o Mold-remediation o Pest control and extermination o Plumbing o Preventative and corrective maintenance services o Sanitary sewer maintenance o Security services o Sprinkler installation or repairs o Trouble-shooting electrical or other problems o Utilities o Water heater maintenance
