Specifications include, but are not limited to:The selected vendor/firm is responsible for the timely completion of the entire project. Project deliverables include, but is not limited to: 1. Removal and proper disposition of current fixtures: The removal of fixtures and any associated equipment must be done without irreparable harm or alter the District’s property. Once removed, vendor will properly dispose of the fixtures. If appropriate, the fixtures may be donated or recycled. Disposal considerations include relevant law(s), the District’s policy, and best practices. Where applicable, consideration will also include relevant Proposition 39, CCC/IOU, and Alameda Municipal Power guidelines or requirements. 2. Installation of new fixtures: The new fixtures must meet all relevant building or electrical codes. Installation of new fixtures will not irreparably harm the District’s property. The vendor/firm must leave the District’s property in at least as good a condition as it was found. 3. Training of District Personnel: The vendor/firm will train the District’s personnel on operating, servicing, maintaining, removing, replacing, disposal of the fixture, and all required documentation. 4. Inventory: Vendor will submit an accurate inventory of fixtures, lights, controls, and components that includes items such as description, location, zones, kW usage, and projected life spans, cut sheets, drawings, and photographs of installations and locations. Page 2 of 4 5. Schedule: The vendor will submit a schedule with graphic representations of the timelines by which the project will be completed. At each stage, the schedule will identify the percentage of the project that has been completed. If the schedule slips, the vendor will inform the District and provide a solution to return the project to schedule. 6. Scheduling Constraints: The vendor/firm must work with the College’s operational schedules. To avoid disrupting classes, retrofit of classroom fixtures may not be done during scheduled class/lab sessions. This requirement is true for all teaching and learning spaces. However, it is particularly true for classrooms, libraries, theater, and study halls, etc. Therefore, it is likely that work in some of these areas must be done at night, on weekends, federal/state holidays, and/or during instructional breaks, such as Christmas and Spring breaks. In such cases, the vendors’ proposal should, accordingly, factor these scheduling constraints in its pricing. In the case of office space, in collaboration with the respective occupants, work may be scheduled during the regular work week. In those cases, the occupants must agree in writing to the schedule, and the vendor must strictly adhere to the agreed schedule. 7. Project Management: The vendor/firm will work closely with the District’s project manager to ensure timely project completion and minimum disruption to campus and/or District activities. The vendor will lead a project kick-off meeting for Berkeley City College segment of the project. The vendor will also lead a separate kick-off meeting for the College of Alameda segment of the project. At a minimum, the vendor will (1) provide an overview of the project, (2) display the fixtures, controls, components, etc., (3) explain the savings (e.g., reduced kW, reduced maintenance, and, (4) introduce themselves to the college administrators, engineers, custodians, and college facilities committee representative(s). The vendor will also do a project closeout meeting where the vendor will, at a minimum, report on the (1) project deliverables, (2) demonstrate how the fixtures operate, and, (3) explain the project warranty and provide the point(s) of contact to resolve warranty issues. 8. Lighting Controls: The selected firm will install lighting controls, where required by California’s Title 24. Vendor will recommend additional controls, beyond the requirements of Title 24, if those controls will help the District to further conserve resources (energy, maintenance, equipment replacement, etc.). Ideally, lighting controls will include dimming, color tuning, occupancy sensors, and daylight sensors. The vendor will state which lighting controls it intends to install. 9. Payment: The vendor/firm will work closely with the District’s personnel and/or representatives to secure payment from Prop. 39, CCC/IOU rebates, and rebates from the Alameda Municipal Power. The vendor understands that some payments from rebates are not available until the District receives the rebates.
