Specifications include, but are not limited to: Software Functional Requirements: Policy Structure and Storage – o PPM minimum capabilities must include: Tracking changes in documents Archiving of old versions of policies/procedures Storing and archival of all current and historical policies and procedures Creating workflow for authoring, editing, reviewing, commenting, and approving policies/procedures Sending reminders to policy/procedure owners when a policy is due for review Notification of general users when there are policy/procedure updates Routing of policies/procedures for approval A policy/procedure library, which has search/query capability Read-only access to entire organization on demand Targeted dissemination of policies/procedures to workforce members based on their role/duties/department/location Confirmation/verification that workforce members have read/attested to policies/procedures; including capture and tracking of e-signatures Dashboard or other audit tools to visualize workforce member attestation/compliance o PPM system must allow for multiple levels and types of policies, as described below, that can be stored on a single platform that can be accessed by workforce members in all DHS locations, which includes the four hospitals, Correctional and Juvenile Court Health Services, 24 health centers, and DHS administrative and program offices.
