The City of Long Beach, Department of Parks, Recreation and Marine (PRM), is seeking proposals from qualified individuals or firms to provide production, administrative, and technical support services for the Long Beach Municipal Band’s six-week summer concert season. The selected Contractor will manage essential behind-the-scenes functions supporting the Band’s performances, including sound engineering, music library management, guest vocalist coordination, substitute musician recruitment, and timekeeping for all participating musicians and technical crew. Description of Services The selected Contractor will be responsible for providing comprehensive Municipal Band production support throughout the pre-season, concert season, and post-season phases. Services include, but are not limited to, the following: 2.1.1 Pre-Season Responsibilities 2.1.1.1 Guest Vocalist Coordination – Assist the Conductor and PRM staff with identifying, auditioning, and selecting qualified guest vocalists for the concert season. 2.1.1.2 Music Library Management • Conduct an inventory and assessment of the Municipal Band’s music library. • Repair, organize, and catalog existing sheet music. • Procure or rent new musical arrangements and scores as directed by the Conductor and approved by PRM. 2.1.1.3 Music Librarian / Conductor’s Assistant Services • Prepare rehearsal and performance folders for all musicians. • Distribute and collect materials in a timely manner. • Maintain accurate records of all borrowed or returned scores. 2.1.1.4 Sound System Preparation • Evaluate existing sound and technical equipment, including speakers, microphones, mixing consoles, and cables. • Coordinate necessary repairs or replacements prior to the first rehearsal. • Conduct a “mock setup” and test run at an outdoor concert venue approximately one week before opening night. 2.1.1.5 Uniforms and Production Materials • Assist PRM and the Conductor in preparing or coordinating uniforms and other visual production elements as needed. 2.1.2 Concert Season Responsibilities (During Six-Week Series) 2.1.2.1 Sound Engineering and Technical Services • Provide qualified sound engineers and technicians for each rehearsal and concert.
