Contractor shall provide, on an as-needed rental basis, heavy equipment items as listed on the Bidder’s Cost Sheet included in this IFB. 1. Specifications: a) Bid prices must include all applicable taxes and fees, delivery to Cal Expo, maintenance (except fuel and tire damage repair), pick-up from Cal Expo, and all other expenses. Fuel shall be charged at cost or current market value, whichever is less. b) All bid prices submitted will be included in the agreement for the full term of the agreement. c) Equipment must be in good working order. d) Contractor must be able to provide same-day repair or replacement, as needed, on weekdays, weekends, and holidays. All repairs are included in the bid price. Failure to provide required repair or replacement shall be cause for termination of the agreement. e) Contractor must designate an account representative to be available (onsite), when requested, during the month of July (before, during, and after the Fair). f) Unless otherwise directed, all rental equipment must be delivered through Gate 12 at Ethan & Hurley Ways to the Cal Expo garage by or before 8:00 AM on the first day of the rental period and not picked up before 5:00 PM on the last day of the rental period. g) For the purposes of this agreement, one day rental equals a full twenty-four (24) hour period; one-week rental equals seven (7) calendar days; and one month rental equals a full thirty to thirty-one (30/31) calendar days. h) The agreement will be awarded based on the lowest total bid for the items used most often for the longest period (1 month or more) by Cal Expo as listed on Attachment 3, Cost Sheet. In addition, rental rates are requested for other equipment as listed on Attachment 3, Rental Rates. i) Although Cal Expo is seeking to rent all equipment from one contractor, it reserves the right to enter into secondary agreement(s) for any equipment that is not available from the successful bidder at a reasonable price.
