Specifications include, but are not limited to: Plan, promote and execute the Hueneme Beach Festival. Such tasks include: 1. Development of an Event Plan which include event concepts approved by the City Council a. Ensure participation from local organizations serving the Port Hueneme community b. Incorporate activities located on the beach and/or pier and provide resources and/or programs that educate attendees about local history and environmental stewardship c. Account for all logistical needs including physical, technological and personnel resources (As noted subsequently, City will provide personnel services related to law enforcement and refuse service) d. Include an event timeline that has deadlines for the completion of key milestones e. Select an event date that avoids conflicts with other local or regional events including but not limited to Ventura County Fair and Ventura County Pride Events f. Account for the need to hold event planning meetings with City staff as necessary to acquire City approvals and coordinate necessary resources g. Produce an event site plan illustrating the location of all proposed event elements 2. Manage and coordinate event activities: a. Solicit and engage exhibitors, vendors, service providers, entertainers, and other groups participating in the event b. Coordinate event walk throughs, rehearsals, and installation of all equipment necessary for the proper execution of the event c. Collaborate with City staff regarding necessary street closures and the provision of notice to impacted residents d. Execute contracts with all vendors supporting the event with equipment and/or services, including but not limited to the following as applicable: stage, lighting and audio equipment; electrical services; fencing; canopies, tables and chairs; portable restrooms, security services and other equipment and services as may be necessary for festival operations e. Ensure event layout complies with all applicable public safety and ADA requirements f. Provide on-site supervision before, during and after the event to ensure successful proper set up, operations and tear-down
