The Vendor will furnish all materials, renderings, equipment, tools, removal, installation, labor, coordination, permits, supervision, freight, and incidentals (including tax) as necessary to perform and complete the project pursuant to the Request for Vendor Quotes and the Agreement. The following is a non-inclusive description of the project work and/or goods to be provided. 1. Location and Dimensions • Location: Court Street Square, 349 N. E Street, San Bernardino, CA 92401 • The rink shall be installed within the designated Court Street Square event area, as identified by the City. • The estimated available space dimensions are shown below. • Vendors may propose rink dimensions that fit within this designated area. 2. Rink Type • Vendors may propose either a synthetic ice rink or a real ice rink. • The proposal shall specify the type offered and provide details regarding installation, operation, and maintenance requirements. 3. Installation and Removal • Vendor shall be responsible for delivery, complete installation, and removal of the rink and all related equipment. • Setup: Must be completed no later than December 10, 2025. • Teardown: May begin on or after December 22, 2025 and must be completed within 1– 3 days thereafter (subject to department availability). 4. Equipment and Materials At a minimum, the vendor shall provide: • A temporary ice rink (synthetic or real) that fits within the designated area. • A minimum of 50 pairs of ice skates in assorted sizes for public use. • Perimeter fencing or barriers sufficient to safely enclose the rink area. • Mats or other flooring to allow skaters to change footwear safely.• Any materials and supplies necessary for the operation of the rink (e.g., glide solution for synthetic surfaces, resurfacing equipment for real ice). 5. Training and Staffing • Vendor shall provide training to City staff at the time of setup on safe operation and maintenance of the rink. • The proposal shall specify whether operational staffing during the rental period is included, or if City staff will operate the rink. 6. Site Conditions and Vendor Responsibilities • Vendor shall conduct a site assessment prior to installation. • Vendor shall identify any site preparation requirements in the proposal (e.g., underlayment, platform, ground leveling, power, or water access). • Vendor shall ensure the rink is safely installed and secured for public use. 7. Security and Operations • Vendor shall provide the City with recommended operational and security measures. • The City will provide overnight security, power, and lighting for the event area. 8. Optional Services • Vendors may propose additional services or enhancements (e.g., decorations, lighting, music, canopies) as optional items, provided they are clearly identified and priced separately in the proposal.
