Task 1. Project Kick-Off Meeting and Schedule The Consultant Project Manager will coordinate with the University’s Project Manager to help develop and identify participants for a Project Steering Committee. The Project Kick-Off Meeting will include the Consultant Project Manager, University’s Project Manager, and Project Steering Committee to review project goals and strategies; identify available data; establish communication channels with other stakeholders, departments, and agencies; review and list required elements and standards; and discuss public engagement and outreach processes. The Consultant will develop a Data Needs Memo prior to this Kick-Off Meeting and provide it to the University’s Project Manager. The Consultant’s Project Manager will coordinate with the University’s Project Manager to establish the procedures and participants for this Kick-Off Meeting as well as to discuss participation in the Steering Committee. The Consultant will prepare and maintain a project schedule throughout the life of the project. The schedule will be updated in coordination with the University's Project Manager. Task 1. Deliverables: ● Kick-off meeting (agenda, goals, agreements, and schedules) and meeting notes Task 2. Coordination Meetings and Project Administration Throughout the project, there will be ongoing coordination between the Consultant and the Cal Poly Pomona staff. The Consultant Project Manager will be in regular communication with the University Project Manager – including email, phone, and written communications to keep the University apprised of progress. The Consultant’s overall project management services will include: ● General project management. The Consultant will administer the project contract, coordinate personnel, prepare and maintain the project schedule and budget, and prepare invoices. ● Quality assurance and quality control. Each submittal will be reviewed by the Principal-in-Charge and a copy editor to see that the University quality standards are met. The Consultant should demonstrate that they will utilize senior level staff for all submittal reviews and clearly communicate project requirements to the entire project team so all team members understand the project expectations. ● Project schedule. The Consultant shall prepare and maintain a project schedule throughout the life of the project. The schedule will be used as a tool to manage the project and updated as the specific milestones are achieved. ● The Consultant will coordinate monthly project update calls to review project status and schedule milestone updates.
