Specifications include, but are not limited to: Conduct weekly progress meetings attended by the Contractor, Utility Service Representatives, Consultants, City Staff and the other stake holders. Record and distribute the minutes for these meetings. Follow up on the issues raised at these meetings to expedite resolution and closure to issues. Establish and implement coordination, tracking, and communication procedures among City, Construction Manager, and Design Professional. Ensure that the required permits have been obtained. In-the-field communication ability via a wireless broadband high speed data access. Obtain a laptop computer with a wireless air card. The contractor needs to have constant access to email and communicate with City staff and the consultant. Address potential impact and concerns to residents by providing public notifications. This includes mailing notices, and providing project updates online. Mail construction updates and notices to City residents. Prepare and post notices and project update signs within the project site. Prepare, log, and maintain project records, including but not limited to: Correspondence, Submittals, Change Orders, Progress Payments, Materials Delivery Tickets and Compliance Certification, Progress Reports, Progress Photos, Meeting Minutes and Monthly Reports. Prepare monthly project status reports. This report shall include a narrative description of the progress of work and major tasks completed, schedule overview, change order summary, key progress photos, and significant project issues, including recommendations on any unresolved issues. Submittal of Requests for Information, Shop Drawings, Samples & Other Submittals. Provide Construction Schedules including baseline schedule and all updates. Verify that the schedules are prepared in accordance with the requirements of the Contract Documents. Maintain “As-Built” Work Records and activities during construction. Provide videotape and/or photographic documentation of Project site prior to, during and after construction. Maintain one set of contract documents with up-to-date information regarding all addendum, substitutions, clarifications and change orders. Coordinate with City any certified technical inspections, field testing, or laboratory testing required for a project. Implementation of safety program. Develop and submit traffic control plans to City if and when needed to accommodate traffic during each planned stage of construction. Implement “Best Management Practices” to prevent storm water pollution from construction related activities and as listed in the Storm Water Pollution Prevention Plan (SWPPP), if applicable.
