The City of La Cañada Flintridge invites all qualified vendors to submit quotes for maintenance of the City generator beginning in late 2025. Said services shall include, without limitation: Initial Assessment and Health Test of the Generator: The vendor will need to conduct a health assessment of the unit as part of their onboarding services and provide a report on the results. The assessment should focus on the unit, its reliability, estimated duration until it must be replaced, etc. Maintenance: The vendor is responsible for performing regular maintenance of the generator based on best industry standards and practices and maintaining function as designed by the manufacturer. The vendor will also be responsible for testing the generator once a month to verify functionality. Testing should include power transfer from the generator to the City Hall building and switching off when power is restored. Emergency Support: The vendor must be available 24/7 for any emergency calls, such as when the generator is not working. The vendor must respond to emergency calls no more than 1 hour after notification from the City. If 1 hour is not achievable, the vendor should include the maximum hour of response time for an emergency. Quotes shall be based only on the material contained in this Request for Quotes. It is the sole responsibility of the vendor to allow sufficient time to upload and input all required information into Planetbids before the deadline. Any discrepancies are the responsibility of the vendor to resolve prior to the submission deadline. Communications regarding this Request for Quote shall be made exclusively through City’s Administrative Services department. Questions should be submitted through Planetbids Question section of the bid. Vendors that contact other City personnel or City Councilmembers after the City releases this Request for Quote and throughout the evaluation period may be disqualified from consideration. This requirement applies to the vendor’s representatives, lobbyists and agents. If you feel it is necessary to communicate with someone aside from the designated staff person about this process, please do so in writing to the Director of Administrative Services. The vendor selection will be based on a combination of the ability to perform and the cost of the services requested. The City reserves the right to reject any or all proposals and reserves the right to reject the proposal of any vendor who has previously failed to perform competently in any prior business relationship with the City. The rejection of any or all proposals shall not render the City liable for costs or damages. Award of a contract will be made to the vendor with the best combination of compensation, responsiveness, financial stability, industry experience, continuity of service, and overall benefit to the City. The contract will not necessarily be awarded to the lowest monetary bidder. A panel of City officials will score each proposal and make a recommendation to the City Council. The La Cañada Flintridge City Council will have the final approval on any contract awarded. The vendor shall obtain and keep current a “no fee” City Business License and shall annually renew said License while any contract is in effect. The vendor shall procure and maintain, at its sole cost and expense, in a form and content satisfactory to City, during the entire term of this Agreement including any extension thereof, the policies of insurance required by the contract. The vendor will abide and adhere and follow all applicable Federal, State and City laws.
