RFQP-0000000023 - Landscape Architecture Services for the Hawthorns Parking and Trailhead Area

This is a Request for Proposals and Qualifications for landscape architecture and site design services associated with the Hawthorns Parking and Trailhead Area Project at 4411 Alpine Rd, Portola Valley CA 94028. This landscape architecture led team shall complete tasks related to schematic design for this parking and trailhead area, with an option to addend the contract to include tasks for design development through construction administration. The schematic phase of work is anticipated to last between 18-24 months.

Monday May 5, 2025 at 5:00 pm - RSVP deadline for mandatory pre-proposal site visit  
Thursday May 8, 2025 at 11:00 am - Mandatory pre-proposal site visit and conference 
Monday May 19, 2025 at 3:00pm - Deadline to submit questions  
By Wednesday May 21, 2025 at 5:00pm - District posts responses to questions addendum on Bidnet 
Wednesday May 28, 2025 5:00 pm - Deadline to submit proposals  
Friday June 6, 2025 - Short-listed consultants notified of virtual interviews 
Thursday June 12, 2025 - District conducts virtual interviews  
 Friday, June 20, 2025 - Consultant team selection 
Wednesday, July 23, 2025 - Board of Directors considers consultant contract for approval 
Wednesday, August 6, 2025 - Notice to Proceed issued 
Week of August 11th, 2025 - Project Kick-off/Orientation Meeting 

Proposal Deadline
Proposals shall be submitted electronically via email on or before Wednesday, May 28th at 5:00 pm for the tasks required for the following designated scope of work. Please submit proposals to Cecelia Gerstenbacher at cgerstenbacher@openspace.org. To ensure transmission, limit email size to 10 mb. If several emails are submitted, please specify this in the email. 

Pre-Proposal Meetings
There is a mandatory pre-proposal meeting and site visit. ALL PROPOSERS MUST ATTEND. This visit is scheduled for 11:00 am on Thursday May 8th. Mandatory reservation is required: RSVP to Cecelia Gerstenbacher (cgerstenbacher@openspace.org) and Charles Tanner (ctanner@openspace.org) by 5:00 pm Monday May 5th to recieve directions to the meeting location and notice of any weather delays or changes.
