Specifications include, but are not limited to: A. Contractor shall accept the data by the following methods and shall process electronic file transfer data of tourism literature requests: 1. Contractor shall receive the data from ADPHT once daily, Monday through Friday, excluding state holidays and other special circumstances. 2. Contractor shall receive the data from ADPHT in a Comma-Separated Value (CSV), Excel, or PDF file containing records for names, addresses, ZIP codes, and requested literature from which the Contractor will produce driving sheets. B. Contractor shall receive test files from ADPHT to confirm electronic file transfer and shall set-up procedures and troubleshoot any issues. Files will be emailed or downloaded from a File Transfer Protocol (FTP) server, per Contractor preference. C. Contractor’s software and security shall accept the electronic file transfer and not block or otherwise prevent the file transfer. D. Contractor shall begin processing orders within fifteen (15) calendar days after contract is awarded and literature is received from ADPHT. E. Contractor shall process and ship all customers’ requests within three (3) to five (5) business days of receiving the electronic file transfer from ADPHT unless specifically requested to hold orders (i.e., when new literature is available, natural disaster, etc.) F. Contractor shall process requests to: 1. Obtain the best possible postage discounts. 2. Remain current on USPS standards. 3. Ensure customers’ requests are addressed and packaged to meet USPS standards as they evolve and are updated. G. In the event the Contractor uses a sub-contractor for the direct mail-out, the Contractor shall be responsible for shipping all required materials, including reports, to the sub-contractor at no additional cost to ADPHT.
