SPECIFICATIONS: South Arkansas College is seeking bids on Audio, Visual and Tech System Upgrade to be used in the El Dorado Conference Center meeting spaces and Banquet halls. This is not an all or nothing bid and all items will be reviewed separately and may allow for multiple vendor awards for the specific items listed. In all cases, lowest responsive bids will be considered. All bids shall contain warranty & software details, total cost of the products including itemized shipping, training, and installation expenses, where appropriate. We also request that companies include: • Estimated timeline for installation of new products • Average response and turnaround time to address any AV, software, or hardware issuesonsite • Services offered for issues that require immediate or urgent attention • Training services for buildingstaff Temporary AV Support During Installation In addition to bids for permanent installation of new audiovisual and tech equipment, South Arkansas College is requesting a supplemental quote for temporary AV equipment and services to ensure continued operation of the El Dorado Conference Center during the installation phase of the new system. Please include a line-item quote for the following: • Temporary audio system rental (microphones, speakers, mixers) • Temporary visual system rental (projectors, screens, or large TVs as appropriate) • Setup services • Daily or weekly rental rates, including any tiered pricing structures or service packages
