Specifications include, but are not limited to: TASK 1: DATA COLLECTION: A. Within ten (10) calendar days after the issuing of the initial Notice-To-Proceed (NTP), the Consultant shall schedule a field “walk-thru” at the existing Nancy J. Brua Animal Care Center for the Consultant’s project team to assess the existing conditions of the facility. B. After the field “walk-thru”, the Consultant will hold a project “kick-off” meeting with the City’s Project Design Team to discuss the project goals/objectives; collect documents, data, and past studies; discuss envisioned floor options, façade options, and anticipated uses in the future facility. The overall project schedule and major milestones will also be discussed. In the “kick-off” meeting, the Consultant will provide a master data collection list which includes all the data/information needed to complete the work described in this Scope of Services. TASK 2: SCHEMATIC DESIGN ALTERNATIVES DEVELOPMENT: A. Based on the information gathered during the Data Collection Task, the Consultant will be expected to work closely with the City’s Project Design Team to develop a minimum of three (3) schematic design alternatives including floor plan options and/or façade options for the upgrade and expansion of the Nancy J. Brua Animal Care Center. The Consultant will be required to coordinate with City-assigned vendors on the following items: telephone/internet, HVAC controls, security/fire alarms, and etc. B. Each schematic design alternative must address both short-term and the long-term needs and, more importantly, the short-term solution must be integrated into the long-term solution seamlessly. C. Consultant shall prepare a phasing plan for each alternative to delineate the short-term improvements and the long-term improvements. D. Consultant shall hold a minimum of two (2) project meetings during the schematic design development. E. This Task shall be completed no later than three (3) months from the issuing of the initial NTP. TASK 3: SCHEMATIC DESIGN REVIEWS/ALTERNATIVE SELECTION A. Once the schematic design alternatives are developed, the Consultant shall present them to the City’s Project Design Team for review and comment. Each alternative shall be presented in color, on a minimum size 24”x36” drawing, identifying room uses, sizes, significant building walls, and major utility connections. The building elevations/façade alternatives shall be in color, identifying window, door, and downspout locations and building materials. B. Based on comments received during the review process, the Consultant shall meet with the City’s Project Design Team and develop an alternative evaluation matrix and facilitate the City Design Team to select the best suited schematic design alternative for the upgrade and expansion of the Nancy J. Brua Animal Care Center. C. At least one review meeting with City Design Team is anticipated. D. This Task shall be completed no later than four (4) months from the issuing of the initial NTP. TASK 4: SCHEMATIC DESIGN FINALIZATION/3D RENDERING: Once the City agrees upon a schematic design for the Nancy J. Brua Animal Care Center, the Consultant will be given authorization to finalize the schematic design plans including the phasing plan and a 3D rendering of the selected alternative. A. Consultant shall work on preparing the final draft of the schematic design plans including site plans, floor plans, structural details plan, special systems plan, electrical and lighting plan, alarms, HVAC plan and controls, and any other miscellaneous plans that illustrate clearly the intent of the recommended components associated with this project. The phasing plan shall also be provided. B. Consultant shall provide a 3D rending for the selected schematic design. C. The final draft of the schematic design plans will be sent through the City’s commercial site plan and building inspection review process. The Consultants will be responsible for addressing any comments generated by the reviews. Final approval will not be granted until all comments have been addressed.
