The consultant shall: 1. Conduct assessment work which will include a mix of on-site work and any modeling or surveys of all TESD3 locations/ sites and facilities to map the physical locations of devices and employees with assess to those devices. 2. Provide detailed metrics of every installed document output device, including contract terms (if applicable), age and /or% of life cycle, cost per page, user per device ratio, page/job volume, black and white/color split, toner coverage and device utilization. 3. Document all existing managed and termed contracts relating to the document output. 4. Provide qualitative analysis of all workflows related to document output, including device utilization versus productivity and efficiency. This deliverable should include all document life cycles up to, but not including postage/shipping. 5. Analyze procurement methodologies for consumables and maintenance of all print output. 6. Provide qualitative analysis of identified issues/problems around the document life-cycle within the entire organization. 7. Provide itemized direct and indirect costs of the document life cycle, based on findings from survey work, modeling, on site reviews. 8. Provide comparative analysis versus industry best practice and benchmarks. 9. Conduct a user survey to judge existing behavior, satisfaction and requirements. 10. Deliver comprehensive and detailed recommendations to the District for the rationalization and cost efficient use of existing and future document output devices and processes. (see below for detailed requirement). 11. Provide a comprehensive and detailed assessment plan based upon this scope of work, to be reviewed and approved by the district prior to starting the engagement. This plan will include: - Detailed objectives - Key cost/performance indicators - Detailed schedule of deliverables, and - Firm timetables. 12. Assist the District with issuance of RFP to implement recommended printing solution. 13. Support the District through the implementation phase of this project. No additional specifications were given.
