Project OverviewEscambia County DHR requires professional moving services to relocate office furniture and equipment to accommodate the Carpet Beetle treatment and phased flooring replacement project.This job must be performed in three (3) phases:Since DHR office is not relocating personnel outside the facility during flooring replacement the project is divided into 3 phases using internal building storage And 53ft enclosed trailer to support staging and temporary storage of furniture during each phase.Phase OneMovers will relocate all furniture from the Phase 1 Rooms lobby, rooms 1-12, both bathrooms, entry, and rooms 38-50 to temporary staging area.• DHR county office will box and move all personal items. DHR will label all boxes for moving from Homeroom to temporary staging area and back to the labeled Homeroom number.• Labels will be written by DHR county office to include the following language: Homeroom Number is labeled with language home room plus number and Temporary Staging Area.• DHR county office will label computer monitors, fax machines, printers, sit/stand computer desks.• DHR county office will bag all computer accessories, keyboard, mouse, scanner and label accessory bag. DHR will leave the computer accessory bag with computer equipment for DHR-ISD to move.• DHR-ISD staff shall break down labeled computer equipment in Phase One assigned rooms for transport by ISD, including fax machines and network printers. • ISD shall transport equipment from current to temporary locations and place equipment in the labeled temporary rooms. Desk phones shall be boxed and labeled by DHR county office for ISD to carry. Moving company will be careful around computer equipment, phones & bagged accessories in temporary areas during relocation of furniture. • The mail machine will need to be covered to keep clean of all debris.• Pest control and flooring contractors will complete treatment, cleaning, and flooring installation.• Movers will then return to place all furniture back into its original (or designated) locations after flooring installation is complete.• (DHR-ISD shall reconnect/install computer equipment, accessories, printers, faxes, scanners after furniture is returned to proper location).• Project should be managed so DHR ISD can plan to start Phase 2 service on the same day they are on site to reset phase 1 computers, etc. in place. 2. Mandatory Site Visit RequirementSite Visit will be Tuesday January 13, 2026 @10am • All suppliers must attend a mandatory site visit prior to submitting a quote.• Supplier must tour all rooms involved in Phase 1, Phase 2, and Phase 3.• A DHR Point-of-Contact (POC) signature is required on the sign-in sheet.• Failure to attend the site visit and complete the sign-in sheet will disqualify the supplier from submitting a proposal.• Completed sign-in sheets must be returned to DHR General Services.3. Items to Be MovedThe supplier will disassemble and move all furniture and office equipment with exception of DHR & ISD items outlined in phases 1, 2, and 3:• Desks• Chairs• Filing cabinets• Bookcases• Conference tables• Shelving• Storage units• Boxes(DHR staff will pack and move all boxed and labeled personal items in advance of project starting.)B. Moving RequirementsSupplier must:• Provide all labor, carts, dollies, equipment.• Protect walls, floors, and equipment.• This is an internal relocation only — no furniture, equipment, or materials will leave the building except overflow into 53ft trailer.• All items will be temporarily staged inside the facility in designated hallways, conference rooms, and other vacant areas in addition to 53ft trailer as directed by DHR staff.• The supplier will not transport any items offsite.• All items must remain secured, protected, and organized while staged during each phase of the project.• After pest control treatment and flooring installation, all furniture and equipment must be returned to their original location.• Return all items to correct rooms after flooring/treatment.• Each phase of the moving project is anticipated to take approximately two (2) business days to complete.• Work is tentatively anticipated to begin on or after January 19, 2026, pending coordination with:– Flooring Contractor– Autauga County DHR and DHR ISD Group • Exact start dates for each phase will be finalized and issued by DHR prior to mobilization.DHR County office Must:• Identify & label in advance temporary staging areas.• Label all boxes, fax machines, monitors, printers, copiers, phones (shred bins if needed).• Move all personal items.• Bag all keyboards, mouse, scanners & label the accessory bag. Time Requirements• Work hours: Monday–Friday, 8:00 AM – 4:30 PM• All three phases must follow the strict schedule set by DHR.7.
