Specifications include, but are not limited to: B. The PD Solution must store data and have robust reporting capabilities: 1. Storing and Maintaining Data • Must maintain course history • Must store teacher\end user history and status o Must include attendance credits o Must have capability for users to enter individual PD Plans and goals. • Must maintain a history of trackable data elements specified in section C. Reporting. • Should allow locally added fields and information for teacher and course records. • Should allow migration from existing records into the PD Solution. • ACPS retains ownership of all PD Solution system data • The offeror‘s solution shall provide adequate security measures for any ACPS teacher or staff data and comply with all applicable federal, state and local compliance regulations. • The offeror’s solution shall provide adequate security measures for all administrative or staff for secured access to the internal facing management controls and information C. Reporting. The PD Solution must have the following: • Customizable reports including certificates of attendance by session, maintaining records of recertification points by employee, tracking licensure requirements by employee • Summary reports of recertification progress for individuals and administrators • Batch reports of recertification points for integration into HR database in xls or csv compliant importable formats. • The PD solution must have o Use of Virginia Department of Education (VDOE) category tags o Monitor progress towards VDOE recertification point totals o Monitor completion of required trainings such as CPR o Work with two systems (5 year and 10 year cycles) • Must have customizable reports including certificates of attendance by session, maintaining records of recertification points by employee, tracking licensure requirements by employee. • Must include circulation, usage, and user statistics • Should be customizable by all data fields • Must have the capacity to save customized templates • Data must export to csv, xls and pdf file types (or equivalent) • Should include a range of pre-defined reports and lists that are customizable D. PD Workflow and User process. • The PD Solution should allow for applications/forms to go through multiple levels of approval • The PD Solution must maintain a catalog of available classes i. The catalog should indicate maximum enrollment and available seats. • The class catalog must have a sign-up process for individual classes. • The class catalog should have summary and detail information capabilities. • The classes listed in the catalog should allow the administrator to attach documents (PDF, Word, Spreadsheets, etc.) • The class catalog should be searchable by participants • The class sign up process must accommodate the potential of many users signing up at the same time and have the capability to assign class seats on a first-come basis. • The PD solution should monitor enrollments to assure a user does not enroll twice in the same class. • The user should have the ability to withdraw from a class after a successful enrollment. • The solution should produce automated notifications for users and administrators for withdrawal alerts or other changes in status. i. Changes in enrollment status should be either on occurrence or by summary reporting to the class administrator. ii. The enrollment status should be available on demand to the end users and class administrators.
