Specifications include, but are not limited to: A.Working with the VDOE primary point-of-contact to verify and finalize all TLA Meeting facility and service needs (e.g., menus, meal and lodging headcounts, meeting space set-up etc). B.Negotiating and obtaining competitive written proposals/quotes from hotels that can provide the facilities and services for each of the two TLA Meetings as described in the TLA Meeting Requirements tables below. TLA Meetings are to take place in the Richmond, Virginia region (i.e., City of Richmond, Henrico County, or Chesterfield County). VDOE’s preferred location for the March 17, 2018 TLA Meeting is the DoubleTree by Hilton Hotel Richmond – Midlothian, 1021 Koger Center Blvd, Richmond, VA 23235. VDOE’s preferred location for the March 24, 2018 TLA Meeting is the Richmond Marriott Short Pump, 4240 Dominion Blvd, Glen Allen, VA 23060. Proposals/quotes pricing for meals shall be at or below the United States General Services Administration (GSA) prevailing per diem rates for the date and location of each meeting, inclusive of all applicable taxes and fees. C.Providing the negotiated and written hotel proposals/quotes to the VDOE point-of-contact for review and approval of the hotel and negotiated rates.
