Specifications include, but are not limited to: 1. Transcripts, if requested, must be submitted in a format compatible with agency software and be in a searchable PDF format with electronic signatures. Digital protection of the file must allow the Department to bookmark, copy, and print pages as required. 2. The Department reserves the right to make as many copies of the original as necessary for internal or Department purposes at no additional cost. The contractor understands the Department will comply with the Freedom of Information Act (FOIA, Section 2.2-3700 et. seq. of the Code of Virginia) and may copy and distribute transcripts to comply with FOIA with no additional cost. 3. If a member of the public requests a copy of the transcript other than covered by FOIA, the contractor may agree to a rate directly with the requestor as long as such request is outside the terms of this contract. 4. The contractor will copy the appropriate staff members on the email when sending transcripts to the Department. 5. If a transcript is requested by the Department, then transcript must be delivered to DHP within 10 calendar days after the proceeding unless otherwise requested. If the 10th calendar day falls on an internal departmental deadline the Department reserves the rights to request advance delivery of transcripts affected by the deadline.
