Specifications include, but are not limited to: • 42 hotel rooms for the nights of Oct 14 – Oct 17, 2019, at state per diem rate (rooms needed each night will vary slightly). • Designated conference registration site, to be supplied with 12 ft. registration table, telephone, ice water and glasses, 2 display easels, waste basket and 4 chairs • Conference room for 12 people on Monday Oct 14 from 11:00am - 2:00pm. • Meeting room each day (including Friday morning) to accommodate 35 people in a U-shape, with 2 large round tables for 10 additional faculty (total) in the rear of the room. • A head table with microphones to measure 12 feet in length with 6 chairs, along with room for a podium and PowerPoint/video viewing capabilities • A room suitable for after-hours Hospitality Suite each night – Guests to provide own food and beverages • Ice water and drinking cups in conference rooms for all attendees • Coffee/tea and refreshment breaks throughout program, to be billed on a consumption basis. • Breakfast for 42 people Oct. 15-18, 2019 at or below state per diem. • Lunch for 42 people Oct. 15-17, 2019 at or below state per diem. • Access to audiovisual equipment if Agency is unable to provide own, including digital projector, audio interface for computer audio with speakers, and microphones. • Complimentary Wifi in Conference Room and Meeting spaces • Parking sufficient to accommodate up to 50 attendees, staff and faculty • Glen Allen location within 3 miles of restaurants, shops and services
