Specifications include, but are not limited to: 1.1 On Arrival Day/Day 1, hotel management will meet with TJCTC staff at an agreed upon time prior to the beginning of the function. 1.2 The Justice of the Peace Seminar is a 4-day event with the following specifications: 1.2.1 Day 1 includes a storage room and registration with a room block of 165 people; 1.2.2 Day 2 includes a full day of meetings with a room block of 165 people; 1.2.3 Day 3 includes a full day of meetings with a room block of 165 people; 1.2.4 Day 4 includes a half day of meetings. 1.3 The Civil Process Seminar is a 4-day event with the following specifications: 1.3.1 Day 1 includes a storage room and a room block of 140 people; 1.3.2 Day 2 includes registration and a full day of meetings with a room block of 140 people; 1.3.3 Day 3 includes a full day of meetings with a room block of 140 people; 1.3.4 Day 4 includes a half day of meetings. 1.4 The Court Personnel Seminar is a 4-day event with the following specifications: 1.4.1 Day 1 includes a storage room and room block of 40 people; 1.4.2 Day 2 includes a registration and a half day of meetings with a room block of 145 people; 2.1 A rooming list will be provided to the successful bidder two weeks prior to the function. Any reservation related changes after the cut-off date will be sent to the hotel in a timely manner as they are received. 2.2 TJCTC participants have 2 room options: Single Occupancy and Double Occupancy. Single occupancy means only one attendee will stay in the room with their guest. TJCTC will pay the full amount of the room rate plus local tax. Double Occupancy means two attendees will stay in a room with two queen-size beds. TJCTC will also pay the full amount of the room rate plus local tax. 2.2.1 The successful bidder will assign double occupancy rooms based on TJCTC’s submitted rooming list. A seminar participant who signed up for double occupancy but requests a single room on-site will be liable for the full charges for the room. 2.3 TJCTC cannot guarantee any seminar participant’s rooms past 6:00 pm on their stated date of arrival. TJCTC informs participants to call in a credit card guarantee to hold their room past 6:00 pm. If they do not, their reservation will be cancelled at 6:00 pm. However, if they arrive late and the hotel has space available, the participant’s reservation shall be reinstated at the contracted rate. If the participant does not arrive and the hotel excluded another guest by not renting the reserved room, the room charge should be billed against the individual’s credit card. But, if a room is guaranteed and the hotel is not at 100% occupancy, no charge will be made to the individual or TJCTC. The collection of a guaranteed room is between the hotel, the credit card company, and the individual.
