Specifications include, but are not limited to: All parts quoted shall be new and shall be packaged in returnable packages. Substitutions shall only be allowed if they are of equal quality. The discount provided for a substitution shall be the same as provided on the bid sheet for that group. Used, factory seconds, remanufactured, shopworn, demonstrator, prototype and discontinued parts or materials are not acceptable. Parts shall be available for pickup at the vendor's place of business between the hours of 8:00 a.m. and 5:00 p.m. Monday through Friday, except for legal holidays. The City may return any parts, or assemblies, regardless of when or where purchased, provided they are in their original packages, are unopened, are the same brand supplied by the qualified bidders, and are listed in the most current bidder’s price list/catalog. Returned parts shall be credited at the most current bidder’s price list/catalog, plus the markup or discount offered on the bid. The City shall not be charged any additional fees or penalties for parts returned. Credit for returned parts shall be received within thirty (30) days, unless prior arrangements for an extension of this time have been agreed upon. Credits shall be either a credit memo or check at the option of the City. Warranty is the greater of 180 days or whatever is offered to the public. The warranty period shall start when the part is installed on City equipment. Upon request, successful bidder shall provide five (5) current bidder’s price list/catalogs (on CD’s when available) and five (5) price lists (on CD’s when available) at no cost to the City. Superseded price lists /catalogs shall be provided (in the same quantities) as they become available, and at no cost to the City. Internet pricing may be provided in lieu of CD’s. Technicians shall be trained to repair Or Equal Manufacturer (OEM) equipment. The charges for labor shall not exceed the factory labor specified by the manufacturer. Orders for stock shall be delivered within 72 hours from the time the order is placed. Emergency orders shall be delivered within 24 hours from the time the order is placed. Orders are to be delivered to various parts locations throughout the City of Dallas. Failure to deliver parts within the specified lead-time may result in the cancellation of this agreement. Lead times shall be met at least 95% of the time in any three-month period of this agreement. Repairs cannot be performed without prior authorization and a legitimate City of Dallas Delivery Order number (DO). The City shall not pay for unauthorized repairs.
