Specifications include, but are not limited to: Preventative Maintenance: 5.7.3.1 The general maintenance schedule can be found below in Appendix A. Unless otherwise approved in writing by the City Project Manager, a detailed schedule, including but not limited to specific dates for maintenance visits, shall be submitted within five (5) calendar days of award to the City Project Manager for approval. 5.7.3.2 Contractor shall perform scheduled Preventive Maintenance such as periodic tests, inspections, adjustments, including belt and filter replacement as needed for normal wear and tear, and all other preventive maintenance services/practices recommended by the OEM and/or industry best practices for similar types of equipment. Inspections shall include but are not limited to the following: 5.7.3.2.1 Inspect and log equipment noting general condition, operating data, noises, vibration, temperatures, and pressures, as applicable. 5.7.3.2.2 Check refrigerant, oil, and water levels. Replenish as necessary. 5.7.3.2.3 Inspect all control devices, gauges, dampers, thermostats, overload devices, pressure/temperature controls, and safety controls associated with the equipment listed to confirm control response, and determine needed repairs and replacements as necessary. 5.7.3.3 Operating inspections, annual inspections, or other procedures, which require the shutdown of HVACR equipment for more than a 30-minute period shall be scheduled as directed by the City Project Manager. 5.7.3.4 Contractor shall perform inspections on vent pumps, coils, and air traps on the equipment listed as required. 5.7.3.5 Preventative maintenance shall include replacement of belts and filters required to maintain the equipment in accordance with the OEM’s technical specifications and tolerances. Belts and filters shall be provided by the Contractor at no additional cost to the City. Non-Urgent As-Needed Repair Services: 5.7.4.1 Non-Urgent services may include but not be limited to system upgrades; assisting other third-party Contractors with special studies or investigations of equipment maintenance, and/or operation; modifying/upgrading equipment; providing conditions assessment. These services shall be considered “Non-Urgent”, unless otherwise indicated by the City Project Manager or designee. 5.7.4.2 Contractor shall respond to a Non-Urgent Services request by email, phone, or meet with the City Project Manager or designee within two (2) business days of the request to discuss the project, or at a time mutually agreed to between the Contractor and the City Project Manager. 5.7.4.3 If applicable or at the City’s request, the Contractor shall arrange a site-visit with the City Project Manager or designee. 5.7.4.4 Contractor shall provide a written estimate of the total cost of work, (“Estimate”) within three (3) business days after the initial meeting/site visit or upon request by the City Project Manager or designee, and at no cost to the City. The estimate for these services shall be in writing and shall include: 5.7.4.4.1 total cost of the work, including an itemized cost estimate with labor rate plus materials/parts, equipment rentals (if applicable), and project timeline. Job quote shall not include a separate charge for administrative, overhead, per diem and transportation (i.e. travel time, mileage, and fuel) costs. These expenses shall be included in the hourly bid rates (based on prices established in the Contract); 5.7.4.4.2 description of services to be performed, including the location of the services, equipment type, location within the facility, and serial number of the equipment if applicable, and other information as requested by the City Project Manager or designee.
