Specifications include, but are not limited to: The City of Georgetown (“City”) is seeking Bids from Vendors experienced in the performance of providing Commercial Heating, Ventilation and Air Conditioning (HVAC) System Repair, Maintenance, and Installation Services. Quarterly Filter Replacements are included. The Services shall be performed as scheduled services, as well as on an as needed basis. The City currently has thirty-one (31) facilities in various locations throughout the City (Exhibit B). The total square footage maintained is approximately 450,000, which may increase throughout the term of any resulting agreement, as new buildings are procured or built. Additional services can consist of repairs, new installations and replacements/additions to existing systems. The scope of each job requested will dictate the appropriate staffing level required for service. The personnel responding to service requests from the City’s Designated Representative must be capable of working on a variety of different HVAC systems as listed on Attachment A. Plans and/or drawings for new installations are to be submitted on request to the City’s Designated Representative by the successful bidder and are subject to their approval prior to start of work. All work completed shall be reviewed and deemed acceptable by the City’s Designated Representative prior to payment. If work meets all codes adopted within the city, but is not acceptable to the City’s Designated Representative, changes shall be made at the successful bidder’s expense. INSPECTIONS AND SERVICE VISITS – Scope of Work (as listed in section E above) Actual maintenance functions may vary due to difference in equipment because of age, type and manufacturer. This is a basic task list below. If bidder has a different task list, said task list will submitted with bid response for review and acceptance, as long as the below items are included at a minimum. In the instance of new equipment installation, Successful Bidder will provide a checklist for review and acceptance by the City’s Designated Representative, at the time of installation. 1. Air cooled Screw Chiller a. Quarterly Inspection 1) Make complete operating log and record operating temperatures, pressure, voltages and amperages; 2) Check operating and safety controls; 3) Check operation of crankcase heater; 4) Check compressor oil; 5) Inspect condenser coils; 6) Inspect fan blades; 7) Log operation of equipment and provide copy to City b. Annual Maintenance 1) Check oil level; 2) Perform oil analysis on each refrigerant circuit; 3) Test and calibrate all safety and operating controls; 4) Meg compressor motor and record for Owner records; 5) Leak test machine; 6) Tighten all electrical connections; 7) Check and calibrate superheat and sub-cooling for each refrigerant circuit; 8) Check refrigerant level; 9) Check condenser fan motors and lubricate; 10) Check condenser coils; 11) Run unit and log operation; 12) Log operation of equipment and provide copy to City. c. Possible Additional Services In the event that any of the following are identified during inspections, Successful Bidder shall submit a quote to the City’s Designated Representative for acceptance prior to performing any possible additional services. 1) Oil filter replacement; 2) Wash condenser coils.
