Specifications include, but are not limited to: • The proposed system shall provide monitoring, configurable reporting, and real- time oversight of the fuel service by authorized City employees; The proposed system shall allow authorized personnel to allocate purchases made on the card to various City accounts. • The proposed system must capture fuel and vehicle usage data including type and quantity of fuel, transaction cost, transaction date and time, location, and vehicle odometer reading; The proposed system shall afford authorized personnel the ability to assign controls to each account, individual card, etc. • The proposed system must have the ability to export fuel and vehicle data in a Microsoft Excel, CSV, as well as PDF format. Systems that are unable to provide such reporting will not be considered. • The vendor's geographical coverage area must be sufficiently obtainable through major fuel providers as to be available to City employees who travel away from the City's on-site fueling stations. Proposals with more locations where City vehicles travel frequently will score higher than proposals with locations where City vehicles travel rarely • The proposed system shall allow inquiries of up-to-date fuel site locations, provided to employees traveling locally and out of town, via website and “APP” that employees can download for exact locations and directions to next available fuel site. • The proposed system must allow restrictions be placed on individual cards in real time to prohibit cash withdraws and purchases other than fuel. This is a non-negotiable requirement.
