Specifications include, but are not limited to: Minimum Requirements Facility and catering service must have a food safety rating of grade A as per SCDHEC standards (SC Code Section 44-1-140, Regulation 61-25). Evidence of rating must be submitted with proposal documents. The event itself will run for four (4) hours, from 6:00PM – 10:00PM. Approximately 700 people are expected to attend. This number is to be considered sufficient for proposal purposes. The actual number of attendees may vary above or below the estimated number of 700 people. A cash bar will available for the duration of the event, with staffing at current industry standards. Offeror to list available alcoholic beverages as part of their proposal package. Venue will allow decorating by the City of Myrtle Beach, and contractor will allow ample time for set-up prior to event. There will be no entrance fees, participation fees, or parking fees charged to either the City of Myrtle Beach or attendees. Parking, including ADA-Accessible spaces, must be available within reasonable walking distance from the venue. Venue Requirements The event space must be closed to the public and/or be highly-defined as a private event with a contractor-monitored entrance. The event space must have a dance area. Offeror to list square footage of dance area as part of their proposal package. Offeror will provide all tables and chairs, as well as plates/cups/utensils/napkins/table linens to meet the anticipated minimum of 700 attendees. There will be no restrictions on attendees who bring outside dessert(s). Offeror will provide staff to monitor and assist with cleanliness during the event, and be responsible for clean-up after the event. Food Requirements The following menu sample is provided as guidance. Offeror will delineate their own menu options as part of their proposal package. Sample menu items include: Heavy hors d’oeuvres served buffet style Spinach artichoke dip with chips/bread Garden salad with house dressing on the side BBQ wings Spicy Southwest Egg Rolls BBQ pork sliders/Hamburger sliders Roasted pepper and/or mushroom sliders (vegetarian option) Non-alcoholic beverages (sodas, tea, water) All standard condiments (salt, pepper, ketchup, mustard, mayonnaise) Entertainment Requirements A disc jockey (DJ) or live band will provide a wide range of music for the duration of the event. This will include calmer music during the time when most people are eating, as well as dance music from a variety of genres. Offeror will provide a two-page description of unique venue designs and amenities that provide entertainment and encourage attendee interaction as part of their proposal package.
