Specifications include, but are not limited to: The DOCR needs scheduling and workforce management cloud software to manage the schedule for 225 correctional employees with the option of including an additional 300 employees later. The software is needed for the next three years and the agreement should include the option for up to three, two-year renewals. This contract is scheduled to begin January 2020. The software must be able to: - Schedule employees by post - Track and manage overtime (OT) - Filter staff based on specific criteria - Manage coverage levels and training - Ensure skills and pay compliance The software also needs to send automated notifications and supervisor messages to employees via mobile app, text, or email. The software must have the capability to send mass emails to different staff members to fill the schedule properly. Employees need to be able to access the software from a cellphone or computer so they can view the schedule and sign up for shifts and OT. Employees also need the ability to clock in and out via a mobile app. The software must have the capability of sending reports which show how much time is worked as OT, who is approving OT, who is allocating OT, and what activities are contributing to the most OT. The software will need to send alerts when employees are double-booked or when staff is scheduled who do not meet training, skill, and fatigue rule requirements. The software must be able to send alerts when there is not enough staff on duty or when shifts are short. The software should allow each shift captain to go in and make immediate changes to the schedule. The software should allow staff (including Sergeants in the cell houses) to change schedules.
