Specifications include, but are not limited to: The accommodation case management system must provide the following capabilities: 1.1 Meet FERPA compliance for storing and managing confidential information to include documentation, client notes, and other sensitive information. 1.2 Provide a web-based secure (encrypted) data transmission capability when accessing the system from current browsers to include Edge, Chrome, Safari, Internet Explorer, etc. 1.3 Provide a mobile friendly interface. 1.4 Allow the University to control branding, logos, and images on the site. 1.5 Allow students to register on-line for support, upload required documentation, and select the courses for which accommodations are needed. 1.6 Allow students to give permission to notify appropriate offices on campus, including faculty, regarding accommodations. 1.7 Be able to send out notifications to offices and faculty regarding student accommodations. 1.8 Integrate with the campus student information system (Ellucian Banner) to retrieve student schedules, class locations, grades, etc. 1.9 Generate an alert when a student registered with Disability Services has withdrawn from a course. 1.10 Provide a portal for scheduling interpreters and note takers. 1.11 Support notetaking services to allow the creation, uploading, and sharing of lecture notes. 1.12 Provide general case management services to include client (student) profiles, notes, documentation, and scheduled meetings. 1.13 Provide automated reminders to students for scheduled meetings in the form of emails or text messages. 1.14 Provide for mass email to all students registered with Disability Services (i.e., active clients). 1.15 Generate various reports on registered students and accommodations. (i.e., a list of students where accommodations are still pending). 1.16 Allow the scanning and loading of existing documentation. 1.17 Support the ability to increase documentation storage allocation as needed. 1.18 Provide role-based security, differentiating access for students, Disability Services staff, note takers, and interpreters.
