Specifications include, but are not limited to: The selected facility should be capable of hosting 1,100 people for a sit-down dinner for the Maryland Teacher of the Year Awards Gala (MTYAG) on October 25, 2019. In addition, the facility should to be able to provide the appropriate décor and adequate number of servers. The Contractor must provide the facilities space requirements set forth herein. The Contractor shall provide space adequate for 1,100 people and for movement with relative ease between tables and the stage. The Contractor shall have two (2) tables available adjacent to the stage for certificates and awards. The Contractor shall provide an adequate number of registration tables with appropriate table linens outside of the dining room. MSDE requires six (6) registration tables. The Contractor shall provide dinner tables that can accommodate approximately 10-12 attendees per table with seating for 1,100. The Contractor shall provide a space appropriate to be used as a changing area for approximate five (5) MSDE staff. The area shall be available from 4:00 p.m. – 6:00 p.m. The Contractor shall provide a space appropriate for photographing major sponsors and the Teacher of the Year nominees. The area shall be provided from 4:30 p.m. – 6:00 p.m. The Contractor shall begin event set up in the morning (approximately 9:30 a.m.) in order to allow set up of a stage and production area that must be ready by 5:00 pm. The Contractor shall provide a stage that is approximately 24-foot long x 16 foot wide. The stage should be professional looking and visually appealing, with skirting. Decor The Contractor shall provide decorative linens for all tables and centerpieces that may include candles for each table. Audio Visual MSDE shall utilize the services of Maryland Public Television (MPT) as the production company for the event. MPT staff shall have access to the space for set-up by approximately 9:30 a.m. the morning of the event. The Contractor shall provide the following AV equipment: Video screens capable of handling 16x9 HD Video feed for viewing from all parts of the room; Video projectors; A public address system; A podium with a microphone; One (1) wireless microphone; Risers for audio equipment – (one (1) approximately 12’ x 8’ and four (4) approximately 4’ x 8’); Three (3) 20 amp/110 v AC clean, dedicated circuits at the video production camera; and One (1) 100 amp/3 phase/120 v disconnect each for both lighting and sound equipment.
