Specifications include, but are not limited to: 1. Plan and manage assigned Maryland State Arts Council events. a. Negotiate and book event space, arrange food and beverages when required, order supplies. b. Conduct research, make site visits, with Maryland State Arts Council personnel, and find resources to assist Maryland State Arts Council personnel regarding event implementation. c. Conduct regular progress meetings with key Maryland State Arts Council personnel as required. 2. Develop and oversee timelines for planning and coordinating events. a. Propose budgets for all events. i. Track individual event finances and provide updates. 3. Research vendors, negotiate contracts and pricing, and submit necessary payment documents to the State. a. Vendors include but are not limited to site, audio/visual equipment, catering, decor, graphic designers, signate and other logistics. b. Assist Maryland State Arts Council personnel with executing event agreements. 4. Research possible artists, adjudicators and speakers and present for approval. a. Negotiate presenting, adjudication, and speaking fees and travel arrangements. 5. Produce promotional text and collateral to promote the event in the context of a marketing plan. 6. Submit and manage staffing plans for events. 7. Submit an evaluation plan with suggestions for improvement for events. 8. Act as the on-site coordinator for all scheduled events. a. Oversee all event activities and proactively handle presented issues. b. Conduct comprehensive event evaluations from attendees and report findings to the Maryland State Arts Council. c. Manage on-site set up and break down after each event.
