Specifications include, but are not limited to: he successful HVAC and/or Mechanical Contractor(s): Shall provide all materials, equipment and labor for HVAC and Mechanical services, to include repairs as needed. The equipment to be maintained includes, but is not limited to, Rooftop package units with gas fired heaters, VRF (outdoor, indoor) and celling heaters. The equipment to be maintained is of various types by various manufacturers. Shall provide all maintenance tasks listed in bid documents and manufacturers’ recommended maintenance Schedule. Shall maintain and service all equipment described herein using a Journeyman or equivalent technical level personnel familiar with all onsite equipment. Shall notify the City Representative anytime the successful bidder or representatives come on site. Shall not subcontract any of the work to any other company. Must have a minimum of two certified Technicians. One is required to have at least 10 years of refrigeration, and/or mechanical, and control experience. This is to ensure that the City always has access to at least one of the certified technicians. Both technicians HVAC and Mechanical Maintenance for Weinberg Center for the Arts RFQ 18-K 11 must have overall knowledge of all of the City's equipment. Both technicians shall be qualified to work on electrical and Seimens Control/HMI systems. Must have access to a fabrication shop. On-Call Services: Must have a 24/7 on-call service availability for emergency calls or other type of outages with a 30 minute return phone call response time. Maintenance work or repairs shall be performed during the regular hours of 7:00 a.m. through 3:00 p.m. (Monday thru Friday) unless specified by the City’s Representative. The City accepts that after hours and/or holidays may be at a different rate as identified in Proposal, Attachment A. Inspections / Inspection Logs: A service inspections log shall be posted and maintained for each piece of equipment. Worksheets for all maintenance and repairs shall be provided to the City’s Authorized Representative every month prior to billing. Work completed must be billed within 30 days of the work being completed. Worksheets shall identify all maintenance tasks, repairs and equipment ID associated with the maintenance and service visits. Each piece of equipment shall be identified using field tags or serial numbers, provided by contractor if not visible. A record log of maintenance performed for the City shall be maintained by service personnel. This record shall contain only City sites and be made available for review upon request or at the end of each contract period to the City’s Representative. All filters shall be pleated and meet a minimum MERV 13 rating unless specified differently by the City Project Manager or representative. Successful Bidder shall maintain all equipment in accordance with the manufacturer's recommendation unless specified differently by the City Project Manager or representative. Other Work (Outside Scope): Prior authorization must be obtained for repairs or other work outside the scope of preventive maintenance work. Authorization requires a quote and signed approval by the City’s Authorized Representative and a written confirmation and service bill with parts invoice to justify parts cost plus mark-up after the work has been completed. The City reserves the right to obtain additional work quotes and service from trade companies other than the successful proposer.
