Specifications include, but are not limited to: 2.2.1 The Offeror must be able to accommodate on the following conference dates: • October 19-20, 2020 2.2.2 The Offeror’s facility must be located in one of the following counties to be considered for award: Dorchester, Baltimore County and Howard County. 2.2.3 a. The Offeror shall provide an opportunity for an on-premise walkthrough and provide further clarifications to their proposal; to be scheduled at a mutually convenient date. b. The walkthrough shall include a review of ALL proposed breakout and plenary space. 2.2.4 The Offeror shall be able to accommodate the following overnight accommodations: a. Approximately 80-100 overnight rooms with king and/or queen beds on 10/18 the evening before the first conference day and the evening of the first conference day, 10/19 (included with invoice) b. Approximately 20 overnight rooms with king and/or queen beds for the evening before the first conference day, 10/18 (self-paying; reserve only) 2.2.5 The Offeror shall be able to accommodate the following requirements: a. Registration Area: • Shall be near plenary meeting space with one table and two chairs b. Plenary Meeting Space: • Conference Day 1- Shall be in a conference room (theater style) that can comfortably seat 150 guests • Conference Day 2- Shall be in a conference room (theater style) that can comfortably seat 115 guests c. Breakout Rooms: • Conference Day 1- 5 breakout rooms (classroom style) that can comfortably seat 50-60 guests in each room • Conference Day 2- 5 breakout rooms (classroom style) that can comfortably seat 25-35 guests in each room d. Food Requirements: • Evening before the conference: o Hot appetizers or buffet dinner for approximately 60 guests • Conference Day 1: o Breakfast, lunch, mid-morning & afternoon snack for approximately 125 people o Buffet dinner for approximately 75 people
