Specifications include, but are not limited to: Maintenance: The Contractor shall be responsible to perform full service support for the equipment during normal working hours and the preferred response time for service calls is no longer than eight (8) business hours from the time of contact by either agency. Bidders are instructed to indicate their proposed response time on the Cost Sheet, in the field provided. Contractor shall ensure service technicians are properly trained and fully capable of providing efficient, effective service to this equipment. Contractor must perform all preventative maintenance services at the manufacturer’s suggested intervals; service technicians shall be properly trained and fully capable of servicing the proposed equipment. Availability of Repair Parts –The Contractor must guarantee the availability of repair parts for a minimum of five (5) years subsequent to the Kansas School for the Deaf’s acceptance of the contract equipment. All branded equipment components, spare parts, application software, and ancillary equipment purchased and supplied under a resulting contract must conform to manufacturer specifications. The Contractor is responsible for ensuring that these items are operable and installed in accordance with manufacturer’s specifications. Supplies: Contractor shall provide all supplies (including toner) within the Maintenance cost, with the exception of paper and staples. Equipment Downtime – Equipment downtime shall be kept at an acceptable, feasible minimum. Downtime is defined as the period of time a piece of equipment is waiting for service to be completed. This time starts with the original service call into the Contractor and ends once all repairs, part installations, equipment modifications and equipment configuration changes have been completed and the equipment functions in accordance with manufacturer published specifications.
