Specifications include, but are not limited to: Replace current system with a new system that successfully automates the City’s Public Records Request process. The system will integrate with other City applications and interface with third party providers through standard techniques. The system will be supported by the proposer, easily configurable and upgradeable, meeting City’s business needs for the foreseeable future. The system will have a robust and customizable security roles feature in order to keep some aspects confidential to certain records custodians. Eliminate unnecessary staff time spent on Open Records requests. Implement an all-in-one system for Open Records requests that tracks and stores all aspects of the process, including requestor correspondence, redactions, invoicing, payment, and distribution of the record. Comply with Kansas State Statutes and Criminal Justice Information Systems regulations in relation to the Open Records Act. Reduce clerical errors by decreasing manual data entry Hold Records Custodians accountable for fulfilling their assigned Public Records requests in in a timely manner.
