Specifications include, but are not limited to: 1. Full service and maintenance shall be included for all copiers for the duration of the contract. This shall include annual preventive maintenance, all parts, materials and labor, and all operating supplies including staples but excluding paper. 2. The Contractor shall schedule preventative maintenance (PM) service calls thirty (30) days in advance throughout the contract period for each piece of equipment. Scheduled PM shall include but not be limited to routine cleaning, lubrication, necessary adjustments, and replacement of worn, unserviceable parts. 3. All technicians shall report to the administrative assistant, manager or supervisor of the facility before beginning any work at that location. Contact information will be provided to the winning vendor. 4. All technicians employed by the contractor will be required to wear identification at the work site, such as a name badge and/or clothing identifying the contractor’s company. 5. The contractor will be entrusted to assign the proper technician(s) for each repair based on the type of equipment and the manufacturer authorization of the technician(s). If follow-up work is needed to correct recent work, including improper repairs, installation, or substandard parts, TOG shall not be charged. After repair(s) have been made, all equipment must be fully functional and provide clean, clear copies. 6. If at any time TOG is dissatisfied with the service and/or the labor performed under this contract, TOG may request and receive a new technician(s) to service its equipment. 7. Maintenance shall be performed during normal business hours (Attachment #1) excluding holidays. 8. To assist TOG with cost containment and budget planning, the successful vendor will analyze usage and repair history and propose efficiencies such as replacing individual with a networked black and white or color copier. A report containing these facts and recommendations will be provided to TOG on an annual basis, or upon request. 9. Contractor shall provide a local telephone number for technical assistance and for service calls. Said number should be available seven (7) days a week, excluding holidays. 10.The contractor will be responsible for leaving the equipment and work area clean and free of all debris and trash. Clean up shall be at no additional cost to TOG.
