Skinner Music Library Compact Shelving
The University of Northern Colorado University Libraries is seeking bids from qualified vendors
for purchase, delivery, unloading and installation of mechanical assist high-density moveable
shelving to store books, music scores, LPs and other music library materials. The proposal
should be broken down into a Base Bid (Compact Shelving) and Add Alternate #1 (Additional
Compact Shelving and Wall Mounted Shelving per the attached floor plan of the project) and
Add Alternate #2 (card holders). The award of the bid will be determined by scoring the
appropriateness of the design for the room configuration, proposed total linear shelving
capacity, and the bid amount. The shelving will be installed in the basement level of the
Skinner Music Library, located on the central campus of the University of Northern Colorado.
The area of installation currently has stored materials on fixed shelving units that will need to
be packed up on carts, transported to a storage location on campus and then reloaded onto
the new compact shelving units in the same order it was removed. Installation of new
mechanical assist compact shelving needs to meet all fire codes. Shelving and installation of
shelving must also meet all applicable codes.
Vendors should include not only information about shelving and costs, but also their proposal
for the most efficient use of the space provided as well as a plan for moving and storing the
materials currently in the room. A floor plan is included with this document. Prospective
respondents are required to verify all measurements for bid purposes. Include in your bid the
total linear feet of shelving your proposed system will have. Vendor should include at least
two references of past library installations that use a similar system. A mandatory pre-bid
meeting will be required. The meeting will be held in Parsons Hall Training Room on 5/9/2017
at 10:00 am with a tour of the actual compact shelving area following the meeting. A van will
be made available to transport bidders to the site. Should you wish to drive your own vehicle
there is limited street parking available along 10th Avenue near Skinner Library. For more

Skinner Library has no loading dock so delivery will be made via street draw delivery on the
west side of the building on 10th Avenue. Vendors are responsible for all loading and offloading
of materials and for the storage of materials. The project will require a formal contract.

Compact Shelving Specifications:
At minimum the following specifications should be included in your submittals:
- The bid is to include high-density mobile storage units mounted on mechanical assist
carriages, support rails and fabrication and installation including leveling of support rails
and subfloor between rails, including ramps transition to existing floor.
Bid must include actual dimensions of shelving. Cantilever library shelving must
generally accommodate 30 inches of materials. Slotted shelving must be 12” deep and
support at least 120 lbs. Shelves should also have backstops and allow for at least two
dividers per shelf.
- The drive system must prevent carriage whipping, binding and excessive wheel and rail
wear under normal operation.

- The successful vendor will be required to shim and true their shelving and will be
responsible for ensuring that the system is leveled and there is sufficient support for the
additional weight of the shelving.
- Plain non-painted plywood sub floor to be provided by vendor. Finished elevation of the
raised floor shall be flush with the top of the rails.
- To provide for book truck access, gradual ramps within the foot print of the range carriages
must be part of the sub-floor.
- The height of the shelving is limited by recessed fire suppression system mounted in the
ceiling. The height of the ceiling is 97.5”. A minimum of 18” on a level plane must be
maintained between the ceiling and the highest point of the shelving due to the recessed
sprinkler heads in the ceiling.
- Bid is for steel shelving.
- Bid should not include canopies over the shelving.
- Bid must include end panels on west end of ranges. (Standard color samples are to be
provided for customer selection. No special order colors.)
- Drive system shall be appropriate for the weight of the system and materials. Please
supply maximum weight allowed. Handles will only be needed on the west side of the
system.
- Safety locks (locks at west end of the ranges) must be easily accessible and clearly
marked.
- All steel parts shall be machined smoothed and thoroughly cleaned.
- The fixed shelving on the west wall to remain.
- All components shall be painted with an electrostatically applied powder coat finish
selected from manufacturers standard colors.
- The system, its components as well as installation must meet all current fire and relevant
codes.
- Plywood decking should be non-off gassing
- Shop drawings are to include details of layout and installation, as well as clearances,
spacing, elevation, and section, components, assemblies, connections, attachments,
reinforcements and anchorage. Furnish floor layouts, technical, and installation manuals.
- Bid must list safety features supplied with shelving system. Vendors should also provide
documentation of alternate safety features and the costs associated with them.
- Winning Vendor will be required to attend a pre-construction meeting.
- An experienced installer of product must be on-site at all times during construction.
- Vendor must provide complete training of customer staff.
- Details regarding fabrication, assembly and installation of mobile carries and storage
shelving are to be provided.
- Add Alternate #1 is additional space for additional compact shelving units as well as wall
mounted book shelving along the north wall – See floor plan.
- Add Alternate #2 is for cardholder identification on the west end panels.
Material Moving Specification
- Materials in basement storage room are currently on fixed cantilever shelving. These
materials will need to be loaded onto carts, moved to either a weather tight storage
container that is placed near Skinner Library on 10th Ave or transported to Michener Library
basement, and returned to the storage room and unloaded in the same order on new
compact shelving.
- Carts must be provided by vendor.
- Bidder must dismantle existing shelving and transport to storage or recycle area on
campus as determined by the University Libraries.
- All supplies necessary to adequately protect materials being moved must be provided by
vendor.
