The following Scope of Services has been developed as a general guide to identify the minimum tasks that the city believes needs to be performed by the Consultant. If the Consultant feels that the project can be enhanced by the addition of new tasks or the deletion of any of the specified tasks, such information should be included with their proposal. The Consultant will be the engineer of record and is responsible for providing quality control on all design and engineering deliverables prior to sending to the city. As such, the City’s engineering review of the Consultant’s deliverables is considered a courtesy, and the Consultant should not expect that City staff will perform a detailed engineering review. The Consultant will be responsible for coordinating their design to meet the requirements per other City departments and other jurisdictions. Including but not limited to the City Building department, Planning Department, Fire Department, and BAAQMD. The Consultant shall be responsible for producing plans, documents, and calculations necessary to obtain a building permit. Project Tasks: • Kick off Meeting & Site Visit (Task 1) • Visit the project site and meet with the project team. • Conduct site visit and review existing conditions. • Provide a list of all questions required to proceed with design. • DRAFT Submittal For Review (Task 2) • Review existing records and data including but not limited to drawings, and other documents relevant to the scope of this project. • Determine project requirements. • Determine feasibility. Consider constraints and potential conflicts. • Prepare drawings which includes elevations, conduit pathways, and location of existing and new equipment (if needed). • Develop preliminary design, showing existing and proposed scope of work. Prepare list of technical performance and product specifications • Meet with City staff to discuss changes. • 100% Final Design Submittal (Bid Set – Task 3) • Incorporate DRAFT Submittal comments. • Perform final quality control review and prepare 100% (Bid Set). • Submit one set of half-sized stamped and signed final drawings along with technical specifications and other contract documents. • Submit one copy of final quantity calculations along with any other calculation required for irrigation, drainage, etc. • Submit all digital files (AutoCAD, MS Word, MS Excel, PDF, etc.) for the project. • Bid and Construction Support (Task 4) • City will administer the contractor bidding and contract award processes. • Provide bidding support, which may include responding to questions from potential bidders, attending a pre-bid meeting and job walk and assisting with preparation of addenda, if necessary. • Conduct site visits, as necessary, during construction. Assume (1) site visit for final punch list when construction is complete. Provide unit costs for any additional site visits which may come up. • Review submittals, shop drawings, change order requests and provide written recommendations to the City. • Review and respond to clarifications and request for information (RFI) during construction and provide written recommendations to the City. • Provide Lump sum pricing for onsite meeting (assume a single 1 hour) preconstruction meeting. No recurring construction meetings will be required due to the short duration of construction. • Participate in the final inspection and assist with preparation of the punch list. • Prepare and submit digital record drawings to the City to reflect as-built conditions. (If drawings are created as part of the bid package.) • This task may be completed by the City’s internal resources depending on the overall cost of the design
