General Requirements 1) The supplier must be able to provide preventive maintenance and repair services for HVAC and related systems for all eight ADFS facilities. 2) The supplier must include with their response the required permits and licenses needed to perform these preventive maintenance and repair services. 3) The supplier must have separate mechanical and controls divisions within the company and self-perform all work related to each division. 4) The supplier must use technology to deliver digital service reports with embedded links to photo and video records of work done to minimize personal interaction with site personnel. 5) The supplier must possess the appropriate software to conduct diagnostics and service Trane and York chillers. 6) The supplier must include with their response proof of satisfactory completion of factory certification from York/JCI and Trane centrifugal chiller training. Preventive Maintenance and Interval Requirements 7) Cooling Towers and Base-Mounted Pumps a. Lubricate all bearings as needed (annually) b. Check sheaves wear and alignment (annually) c. Check belt and adjust tension (annually) d. Replace belt (annually) e. Check and adjust the float valve as needed (annually) f. Check all operating and safety controls (annually) g. Check and clean fan scrolls and blade assembly (annually) h. Lubricate all couplings and gear boxes as needed (annually) i. Check and tighten electrical connections (annually) j. Test starters and contactors (annually) k. Inspect electrical wiring for damage (annually) l. Clean strainers and screens (annually) m. Clean debris from unit (annually) n. Clean distribution pans and spray nozzles (annually) o. Flush, drain, and clean sump (annually) p. Drain makeup water and piping (annually) q. Check overall for proper operation (annually) r. Test sump heater operation (annually) s. Lubricate damper assembly, if applicable (annually) t. Submit report stating existing conditions and any repair, modification or replacement recommendations (annually) a. Review chiller operation with ADFS personnel (semi-annually) b. Visually inspect chiller condition (semi-annually) c. Measure and record system superheat and sub-cooling (semi-annually) d. Run Performance Log at three 15-minute intervals including: o Chilled water entering and leaving temperatures and pressures (semi-annually) o Evaporator approach temperature (semi-annually) o Refrigerant temperature and pressures (semi-annually) o Oil temperature and pressures (semi-annually) e. Check refrigerant and oil levels (semi-annually) f. Oil Sampling (annually) g. Inspect water pumps (semi-annually) h. Inspect and calibrate motorized expansion valves (annually) i. Check operation of liquid line solenoids and hot gas system if applicable (semi-annually) j. Inspect condenser fan and motors for proper operation (semi-annually) k. Inspect and clean condenser coils/tubes (annually) l. Check evaporator pressure drop (annually) m. Verify proper operation of compressor slide valve and or load / unload mechanisms (semi-annually) n. Leak check refrigerant piping and components electronically (annually) o. Check previous diagnostics on microprocessor if applicable (annually) p. Verify operation of machine safeties (high pressure, low pressure, oil differential, flow switch and freeze protection) (semi-annually) q. Submit report stating existing conditions and any repairs, modifications or other actions needed (semi-annually) 9) Split Systems and Air Handling Units a. Lubricate all bearings, as needed (quarterly) b. Replace disposable filters (quarterly) c. Replace bag/charcoal filters (annually) d. Check refrigerant charge (annually) e. Check belt and adjust tension (quarterly) f. Replace belt (annually) g. Visually inspect unit for signs of refrigerant leaks (quarterly) h. Check all operating and safety controls (quarterly) i. Check suction and discharge pressures (annually) j. Check voltage and amperage on motors and compressor (annually) k. Check and tighten electrical connections (quarterly) l. Test starters and contactors (quarterly) m. Inspect electrical wiring for damage (quarterly) n. Test for proper operation of the expansion device (quarterly) o. Check evaporator coil, in place cleaning (annually) p. Clean the condensate pan and flush drain (annually) q. Clean the condenser coil (annually) r. Cycle the unit and test for proper operation (quarterly) s. Test the heat during the fall inspection (annually) t. Submit report stating existing conditions and any repairs, modifications or other actions recommended (quarterly) 10) VAV/PIU Boxes a. Cycle the unit and test for proper operation (semi-annually) b. Test the heat (where applicable) during the fall inspection (annually) c. Change filters (semi-annually)
